1. Who we are and how to contact us

FindThePlot is a division of My Best Solutions Limited, a company registered in England and Wales, company number 14243668, registered office 167–169 Great Portland Street, 5th Floor, London W1W 5PF. That company is the data controller for this site and is registered with the Information Commissioner’s Office under registration ZB623638.

2. Using the free tools

The Class MA Checker and Site Snapshot run in your browser. You can complete either one, see the whole result, and leave, without giving us a name or an email address.

Two optional actions do store something:

• Creating a link to a result. This saves the figures and answers you entered, plus the working, against a random code. It does not include your name, email address or IP address. Anyone with the code can open it, so treat the code as you would a link to a document.
• Asking for a result by email. This stores the email address you typed, which tool it related to, the code for the saved result, and whether you opted in to occasional notes.

3. What we collect

• Brief data — the search parameters you enter on the brief form, plus your name, email address, phone number if given, company if given, and your consent choices.
• Owner enquiry data — the site address, current use, tenure, trading status, size and timing you enter, plus your contact details and consent choices.
• Communication data — what you send us when you email, call, or use the chat on this site.
• Technical data — IP address, browser user-agent and request timestamps, collected automatically by our hosting provider in short-term server logs for security and reliability.
• Tool data — as described in section 2. No personal data unless you type personal data into a free-text field.

We do not ask for and do not want special category data, and you should not send it to us.

4. Why we use it, and our lawful basis

• To assess and respond to a brief or owner enquiry — your consent, and steps prior to entering a contract (Art. 6(1)(b) UK GDPR).
• To run a search or introduction you instruct — performance of a contract (Art. 6(1)(b)).
• To send a result by email when you ask for one — your consent (Art. 6(1)(a)).
• To send occasional notes — your separate, optional, unticked consent (Art. 6(1)(a)). You can withdraw it at any time.
• To keep the site secure and operational — our legitimate interests (Art. 6(1)(f)).
• To meet legal, tax and accounting obligations — legal obligation (Art. 6(1)(c)).

5. What we do not do

• We do not sell or rent personal data to anyone.
• We do not use advertising or cross-site tracking cookies, and there are no third-party advertising pixels on this site.
• We do not add you to a mailing list because you sent a brief or used a tool. Marketing is a separate, unticked, optional box.
• We do not enrich, profile or score you against external data sources, and we take no automated decisions that have a legal or similarly significant effect on you.

6. Who we share it with

We share personal data only with processors acting on our instructions, and with professional advisers or authorities where we are required to:

• Hosting and database — our application hosting and managed database provider, which stores form submissions and saved tool results.
• Email delivery — the provider that sends our notification and confirmation emails.
• AI assistance — where you use the chat on this site, your messages are processed by a model provider to generate a reply. Do not put confidential site details in the chat; use the enquiry forms instead.
• Professional advisers — lawyers, accountants and insurers, where strictly necessary.
• Regulators or law enforcement — where required by law.

If a brief leads to an introduction, we share only what you have authorised us to share, and we tell you before we share it.

7. International transfers

Some of our processors operate outside the UK. Where personal data is transferred outside the UK we rely on appropriate safeguards under Article 46 UK GDPR — the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to a country the UK government has deemed adequate.

8. How long we keep it

• Briefs and owner enquiries: kept while the enquiry is live and for two years afterwards, then deleted.
• Email requests for results and marketing consents: kept for two years, or until you unsubscribe or ask us to delete them.
• Saved tool results: kept so the link keeps working. They contain no personal data unless you typed personal data into a reference field.
• Records of a completed transaction: kept for six years to meet UK statutory and tax requirements.
• Server logs: up to 30 days.

9. Security

We use encryption in transit (TLS), encrypted storage, row-level access controls on the database and least-privilege access for people, so that form submissions are not publicly readable.

10. Cookies

This site sets no advertising or analytics cookies. The detail is in the cookies notice.

11. Your rights

Under the UK GDPR you have the right to access the personal data we hold about you, have inaccurate data corrected, have data erased in certain circumstances, restrict or object to processing, receive your data in a portable form, and withdraw consent at any time where processing is based on consent.

Ask at matthew@mybestsolutions.co.uk and we will respond within one month. If you are not satisfied you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to put it right first.

12. Changes

If this notice changes materially we will say what changed and update the date at the top, rather than silently replacing the page.
